OSIPP English Proofreading Grant for Graduate Students

Application Guidelines for OSIPP English Proofreading Grant

Support Details

Grant Amount: Up to 60,000 yen per application. If the actual proofreading cost is less than 60,000 yen, the exact amount will be reimbursed.

Eligibility

Eligible Applicants: Graduate students currently enrolled in OSIPP (Students on a leave of absence are not eligible to apply).

Number of Uses

Only one application is allowed per academic year.

Application Period

Applications are accepted twice a year:

  1. August 1 to August 31: For proofreading completed between April and August of the current academic year.
  2. December 1 to January 10: For proofreading completed between April and December of the current academic year.

※Due to fiscal year-end accounting procedures, applications are only accepted for English proofreading that has been completed and paid for between April and the end of December. Please note that receipts dated from January to March cannot be accepted.

Application Procedures

Please complete the “English Proofreading Grant Application Form” (available for download below) and submit it to your academic advisor via email attachment, along with the receipt (PDF) issued in the applicant’s name as proof of payment.

Notice of Selection

The Research Promotion Committee will conduct the selection process, and applicants will be notified by the “Notice of Grant Approval.”

Procedures After Receiving the Notice of Grant Approval

Please submit the following set of documents to your academic advisor:

  • Copy of the submitted “English Proofreading Grant Application Form”
  • Copy of the “Notice of Grant Approval”
  • Invoice (showing the breakdown of costs)
  • Original Receipt
  • One copy of the proofread paper

Guide to OSIPP Graduate Student Grant for Elsevier E-Journal Pay-Per-View Fees

Important Notice

The grant covers up to 10 articles per person per year. Each student must manage their own usage to ensure they do not exceed this limit.

Support Details

This grant covers the Pay-Per-View (PPV) fees for Elsevier e-journals and other resources provided by the the University of Osaka Library (1,000 yen per article). This allows graduate students to access and download these articles free of charge.

Eligibility

Eligible Applicants: Graduate students currently enrolled in OSIPP (Students on a leave of absence are not eligible to apply).

Number of Uses

PPV access is limited per year to 10 times per person (equivalent to 10,000 yen).

How to Register / Start the Grant

Students who wish to apply for the grant must complete the “PPV (Pay-Per-View) Application Form” (available at the link below) with their Name, Affiliation, Status/Year, the University of Osaka Personal ID, and the email address registered on the Elsevier website (ScienceDirect), and submit it to their academic advisor. Once the advisor has added the necessary budget information and applied their seal, the form will be returned to the student. The student must then submit the returned form to the E-Resources Section at the Main Library (Toyonaka Campus). The library will notify the student once the registration is complete.

How to Use

Log in to the Elsevier website (ScienceDirect) using your registered account. Select the group for prepaid PPV usage (“the University of Osaka, Prepaid”) and proceed to access the content. (For more details, please refer to the link: “Guide to Using Prepaid PPV for Elsevier E-Journals, etc.”)

Grant Approval

International Academic Exchange Grant

Grants are provided for research presentations at conferences held overseas (session chairs and discussants are not eligible; the grant may be received only once per year). The grant amount is generally 150,000 yen for travel to Europe or North America and 50,000 yen for travel within Asia. Applications are accepted twice a year (Spring and Fall semesters) for a limited number of recipients, with priority given to students presenting overseas for the first time. For the Spring semester only, conferences that have already been held by the submission deadline are also eligible for the grant.

When applying, please fill out the required information on the prescribed application form and submit it along with

(1) a travel itinerary and airfare estimate
(2)a document providing an overview of the conference (a PDF of the website is acceptable)
(3)a program clearly stating the presenter’s name or a document confirming that the presentation has been accepted (an email is also acceptable).

The selection will be decided by the Steering Committee after a rigorous screening process, and results will generally be notified within one month of the application deadline. However, please note that the number of recipients and the grant amount may vary depending on the budget.

OSIPP Graduate Student Research Award

Objectives and Purpose
  • To provide research incentives to graduate students through the award and to demonstrate both internally and externally that OSIPP supports students who achieve outstanding research results.。
  • To efficiently collect a wide range of information regarding students’ research achievements, thereby increasing the recorded performance of OSIPP students reported to University Headquarters and enhancing the overall evaluation of the Graduate School.
Application Method, Required Documents, and Evaluation Materials

Application Method: Submission of the “Student Research Activity Information Sheet” (once every six months) will be considered a formal application.

Policy on the Supplementary Award and Number of Awardees

Supplementary Award
Research funds will be allocated as a supplementary award. The amount will be determined at the time of selection, taking into consideration the previous level of supplementary awards and the financial situation at that time.

Number of Awardees
In line with the principle of “providing scholarships to as many students as possible,” the number of awardees will be determined with the intention of granting awards broadly to students who demonstrate strong motivation and engagement in their activities.

Application and Selection Procedures
  1. (1) Application Procedure
    Students must submit the Student Research Activity Information Sheet to the Academic Affairs Section by the designated deadline.
  2. (2)Compilation by the Academic Affairs Section
    Based on the submitted materials in (1), the Academic Affairs Section will compile a list of achievements categorized as follows:
    ・Academic journal publications
    ・Conference presentations
    ・Awards received from academic societies or related organizations
    ・Research grants obtained
    ・Publications (books, etc.)
    ・Translations
    The compiled list will then be submitted to the Dean of the Graduate School.
  3. (3) Review by the Dean and Vice Dean
    The Dean and Vice Dean will conduct a review based on the list prepared in (2) and will select as awardees those students who demonstrate strong motivation and engagement in their academic activities.
  4. (4) Disbursement of the Supplementary Award
    The supplementary award (research funds) will be allocated to the awardee’s academic supervisor. Awardees are expected to consult with their supervisor on how to utilize the funds effectively for research purposes.
